When I review a contact extraction project, I start with the decision the team needs to make using the data. Download volume says little if someone then has to open every listing to find out where the phone number came from.
This guide focuses on extracting public emails and phone numbers from listings with verifiable quality. The wider journey through collection, enrichment and review is covered in technical lead generation. Here the question is narrower: what should the first sample demonstrate before you accept the extraction?
Define the contact fields and sources you need
Before writing code, I would agree listing types, permitted fields, countries, refresh frequency and intended use. I would first check whether an authorized API or export covers the need. The directory's support number is not the advertiser's contact, even when both appear on the same page.
The sample should include listings with contacts, missing contacts, multiple values and different formats. Hidden, restricted or masked fields stay outside the agreed extraction; I would not fill them with guesses. I would also define who approves sources and downstream use, how long data is kept and how it is corrected or removed.
Separate missing data, ambiguity and extraction failures
An empty field does not explain what happened. I propose these states so operations can distinguish a review task from an extraction defect. They are design criteria, not results from a completed client project.
| Situation | Proposed state | Next action |
|---|---|---|
| Visible value attributable to the advertiser | Extracted | Keep provenance and run the agreed validation checks. |
| No contact in the inspected field | Not published | Preserve the absence; do not invent a value. |
| Multiple contacts with unclear ownership | Ambiguous | Send to review with the available context. |
| Page unavailable or structure unrecognized | Extraction error | Record the failure; do not count it as a missing contact. |
| Data due for another check | Freshness review | Apply the agreed refresh rule before reuse. |
Quality approval is a separate field. An extracted value may still be awaiting review. It is also separate from approval to send messages, which belongs to the agreed commercial process.
What email and phone validation actually establishes
I would retain the original value alongside the normalized value and the applied rule. For phone numbers, I would record country context when the source supports it; missing context that changes interpretation goes to review. For emails, I would document transformations without rewriting parts of the address based on intuition.
A plausible format does not establish that a contact is active or belongs to that business. The libphonenumber documentation explains that a valid number range does not confirm assignment to a user or reachability. Acceptance must state exactly which checks have been performed.
If the same contact appears in multiple listings, I would retain the source references before deciding whether they represent one entity. Deduplication and merge rules need their own agreement; deleting rows blindly is a poor way to resolve identity.
Keep evidence for each field and extraction run
A minimum record should connect the URL, listing identifier, source field, capture time, original value, normalized value, extraction state, validation rule and parser version. I would add a review reason and owner when a person intervenes. Evidence retention should cover only what the agreed process needs.
Consider a hypothetical directory with its own email in the footer and an advertiser's email in a dedicated section. A pattern extractor returns both in valid formats. The useful test is whether each value belongs to the expected field; a higher confidence score cannot fix the attribution mistake.
Separating fetching, parsing and validation helps locate the fault. The guide to scraping architecture with queues and retries covers that separation. The Adslyfy case shows runs and screenshots for ad monitoring. It demonstrates operational visibility, not contact extraction or contact validation results.
Accept a sample before commissioning the rollout
I would agree a set of authorized or anonymized examples and expected results with the person who will review the data. Include source variations rather than only the easiest listings. These six tests help define the first delivery:
- Attribution: a contact from the directory footer is not assigned to the advertiser.
- Absence: a listing without a phone number is marked as not published, with no invented digits.
- Ambiguity: multiple values without clear context reach review with their provenance intact.
- Format: normalization is explainable and never destroys the original value.
- Source changes: an unfamiliar template produces a visible failure instead of apparently valid empty contacts.
- Freshness: changed or removed data follows the agreed review rule and leaves a record of the decision.
I would measure correct values among extracted values, visible contacts recovered in the sample and review minutes separately. An extractor can return a few correct contacts while missing many others. Thresholds depend on the cost of errors; I would not prescribe a universal percentage or equate extraction quality with sales conversion.
Budget for review and maintenance too
Source variations, fields, refresh frequency, required history and exceptions affect the work. I would separate implementation, infrastructure, human review and parser maintenance. The proposal should identify who handles structural changes, what requires a new scope and when collection from a source is paused.
Use the scope and acceptance checklist for comparing quotes. Then import a synthetic sample into the receiving tool: the CSV, API and dashboard delivery checks verify that values and states arrive intact. Extraction acceptance and delivery acceptance are separate tests.
What to prepare for a contact extraction review
My internal platforms and integrations services cover data flows and failure handling. To scope the work, I need the agreed sources, required fields, receiving tool, refresh frequency and the person responsible for exceptions.
Tell me where your extraction loses quality and prepare synthetic or anonymized examples of a correct, missing and ambiguous value. I can review the scope with you and define what a first delivery should demonstrate before increasing volume.
